Who this covers
Report Visibility measures whether AI platforms name a business and cite its website. This page covers the website you are on, the free scan, and the customer portal.
Most of what we hold is about businesses, not people: a company name, a website, the questions a customer might ask, and what Google AI Mode, ChatGPT, Gemini, Claude and Perplexity said in reply. The personal information is small, and all of it is listed below.
What we collect, and why
When you run a free scan
- Your email address, to send you the result.
- Your website, business name, what you sell and the towns you serve, to write the questions and to recognise your business in the answers.
- A scrambled copy of your IP address and your browser type, to stop the form being used to run hundreds of scans. The IP address is hashed before it is stored, so we cannot read it back.
When you become a customer
- Your email address and the business name you gave at checkout, to give you an account and send your reports.
- A password, if you set one, stored only as a one-way hash. We cannot read it, and you can sign in by emailed link without ever having one.
- Your subscription: the plan, its status, and the identifiers Stripe gives us for it. Card details go to Stripe and never reach our servers.
- Sign-in records: when you signed in, from what browser, and the same scrambled IP address, so a session can be ended and a break-in noticed.
- Changes you make to your questions, with when and by whom, because a reworded question changes what your figures mean.
What we measure
The questions tracked for your business, the answers the platforms gave, the sites they cited and the businesses they named. These are the platforms’ own public output. They are kept so that every figure in your report can be traced back to the answer it came from.
Email we send you
A record of each message we send you and whether sending it succeeded, so that a report that did not go out is something we find out about.
What we do not do
- We do not sell or rent your information to anybody.
- We do not run advertising or analytics trackers on this site.
- We do not install anything on your website, and we never ask for access to your site, your analytics or your accounts.
Who else handles it
We use a small number of services to run the product. Each receives only what its job needs.
- Stripe takes payments and holds your card details.
- Resend delivers our email, so it handles your email address and the messages we send you.
- DataForSEO puts the tracked questions to the AI platforms. It receives the questions, which can include your business name and town, and nothing about you personally.
- Cloudflare provides the bot check on the scan form.
- Amazon Web Services hosts the servers and the database.
We will disclose information if the law requires it, and not otherwise.
How long we keep it
- A free scan is kept so that the link in your email keeps working. Ask and we will delete it.
- Your account, questions, answers and reports are kept while you are a customer. After you cancel, your reports stay available to you until you ask us to remove them.
- Sign-in links and ended sessions are deleted automatically once they can no longer be used.
- Billing records are kept by Stripe for as long as tax law requires.
Your choices
You can ask for a copy of what we hold about you, have it corrected, or have it deleted. To do any of these, write to stephen@reportvisibility.com. We act on every request, wherever you live, and reply within thirty days.
If you are in the UK, the EU or California, the law gives you these rights and the right to complain to your regulator. We would rather you told us first, so we can put it right.
How it is protected
Everything travels over an encrypted connection. Passwords and sign-in links are stored as one-way hashes. Each customer’s data is separated from every other’s on every request, and only the people who operate the service can reach the systems it runs on. No system is perfectly secure, and if something goes wrong that affects you, we will tell you.
Children
The service is for businesses. It is not directed at children, and we do not knowingly collect information from anyone under sixteen.
Changes, and how to reach us
If this policy changes in a way that matters, we tell customers by email, and the date at the top of this page changes with it.
